2003-305 – Create and Export Employee Timesheets to MYOB

Overview

In OPTO, employee timesheets can be created and exported to MYOB for payroll processing.
This relies on properly configured Employee Calendar Activities, used to track events such as
Annual Leave, Long Service Leave, Personal Leave, Rostered Days Off, Training, and more.

Turning On The Functionality

  1. Navigate to the INVOICING tab in the OPTO ribbon.
  2. Select the Export Parameters button.
  3. Save and Close the window.

Setting Up Calendar Activities

  1. Navigate to the RESOURCES tab in the OPTO ribbon.
  2. Click Utilities, then select Parameters Employee from the dropdown list.
  3. Set up your Calendar Activities to align with leave types and other events you intend to include in timesheets.

Creating Payroll Categories

  1. Go to the RESOURCES tab.
  2. Select Data Set, then choose Payroll Categories from the list.

By default, you’ll find three pre-existing categories:

  • NORMAL_TIME
  • OVER_TIME
  • DOUBLE_TIME

You may define additional Payroll Categories if required. Each Payroll Category should include:

  • Code – A unique identifier.
  • Display Name – A clear description for identification.
  • Calendar Activity – Each activity should be linked to only one Payroll Category.

Creating Timesheets from Clock Records

  1. Open the Post Time Entries window.
  2. Select the date range to include in the timesheet.
  3. (Optional) Filter by Division and/or Employee.
  4. Clock records will automatically populate and be grouped accordingly.
  5. Tick the checkbox in the “Post” column for entries to include.
  6. Click Post Selected to create the timesheet(s).

Viewing and Managing Posted Timesheets

  1. Go to the Posted Timesheets tab within the Post Time Entries window.
  2. Double-click a row to open the full timesheet record.
  3. If needed, you can Unpost a timesheet:
    • This deletes the timesheet and restores the associated clock records for reposting.
    • Only available to users with the ADMIN security policy.
  4. If an error occurred during export, uncheck the Export box and save the timesheet.
    This will return the timesheet to the MYOB Export queue.

Exporting Timesheets to MYOB

MYOB Window

Initial Setup

  1. Open the MYOB Export window.
  2. If this is the first export for a specific Employee or Payroll Category, their rows will be highlighted in red.

Linking Entities

  • Link Employees – Click to connect OPTO employees with their MYOB counterparts. OPTO retrieves the employee list from MYOB for manual linking.
  • Link Payroll Categories – Similarly, link your OPTO Payroll Categories to those in MYOB.

Once linked, these settings are retained and do not need to be re-established for future exports.

Exporting Timesheets

  1. Select the timesheets you wish to export.
  2. Click Export Timesheets.

Validation

  • Right-click a timesheet and choose View Timesheet to review before exporting.
  • If corrections are needed, Unpost the timesheet to edit and reprocess. (ADMIN only)
